Debesis processes customer data in accordance with GDPR. Polish data center hosting, customer isolation, roles and permissions, audit trail, data retention policy. Full on-premise deployment available for finance and healthcare.
We store all SystemHelpdesk.pl customer data in Polish data centers (mainly in Warsaw, with backup in a second location). We do not use infrastructure subject to the US CLOUD Act or other jurisdictions outside the EU.
Each customer has a logically isolated environment. Agents from one company have no technical ability to see another company's data.
Role-based access control (RBAC) lets you precisely define who sees which tickets and categories. Standard roles: admin, team leader, agent, observer — with custom roles available.
Every action in the system (create, edit, escalate, close) is recorded in an audit trail with timestamp, user and IP address. Logs are kept for at least 2 years.
Retention policy is configurable per ticket category. Standard: operational tickets 3 years, complaint data 6 years (per Polish law), sensitive data (healthcare) 20 years.
After the retention period, data is automatically pseudonymized or deleted. The customer can always request earlier deletion of specific data (right to be forgotten).
Debesis helpdesk supports all GDPR rights: data access, rectification, deletion, restriction of processing, data portability. Each such request can be handled in the system as a separate ticket with dedicated SLA.
For larger companies we also provide a DPO panel — a tool for the data protection officer with aggregated reports, list of requests and their fulfillment status.
For banks, insurers, financial institutions and some healthcare facilities we offer full on-premise deployment — on your servers, in your infrastructure. This gives maximum data control and is the standard for entities under special regulations. Ask for a quote.
